An Erasmus+ kick-off meeting is an opportunity to get the right people in the right room at the right time to sync and discuss everything that will guide your Erasmus+ project to success!
The project kick-off meeting communicates the project goals and objectives to ensure the project team and client are clear on what they should be doing for the project. This activity is part of the Erasmus+ project initiation phase. A kick-off meeting is usually led by the project manager.
During the meeting, a common language is developed, goals are set and important discussions on expectations occur. Without these meetings, you leave your project open to ambiguity, miscommunication and, ultimately, more risk. A well-run kick-off meeting can make all the difference to the overall success of a project.
A project kick-off presentation's objective is to introduce the team, understand the project background, comprehend what success looks like, understand what has to be done, and agree on how to operate successfully together. It's an opportunity to step up and get the team and client on the same page, agreeing on common goals.
Apart from providing a structured start into the project execution, kick-off meetings establish a positive atmosphere before the start of the project.
Usually, the kick-off takes place after the statement of work or project poster has been finalised and all parties are ready to go. Your kick-off is an opportunity to orient the team to the work at hand, decide how everyone will work together, and establish common project goals and check-ins.
To organise a kick-off meeting with your project team members, you should invite them either by telephoning, sending official e-mails, or even sending text messages. It depends upon you what communication method you prefer. Add some powerful text to boost the energy of your team members and help them to eagerly look forward to the meeting and communicate best ideas to share when developing the project plan.
Prior to your kick-off meeting, have one with your team too and then you can share your plan with the client’s team so they’re fully aware of it.
The agenda of the meeting should be very clear as if it is written on paper stepwise to avoid wasting time and resource. If you have pre-set agenda, you will have more time to focus on the topic so it’s better to have one in place, so you know what you must cover during the meeting. You should have full command over the agenda of the meeting you and share it with your client or
A kick-off meeting should also include an open discussion with the team or stakeholder to avoid any potential misunderstandings and to enjoy a long-term business relationship. You should listen carefully to other people’s suggestions as they will add value and this helps to develop a stronger bond between the parties involved, resulting in a more successful project.
