Know the Erasmus+ IT tools

Written by Sara Beltrami | December 28, 2022

Do you know about the tools available to help you with reporting on your Erasmus+ project? They are useful for all sectors under the Erasmus+ programme, whether the grant is for a Mobility Project, Strategic Partnership or Structured Dialogue Project under the Key Actions (which are decentralised and managed by the National Agency). This article will give you an overview of the European Commission’s tools available for Erasmus+ projects.

EU Login

The EU Login authentication service (previously ECAS) is especially for user authentication to a wide range of EU Commission information systems. The European Commission Authentication System (ECAS) changed its name to EU Login in 2016. To access digital systems developed or used by European institutions, you need an account prior to submitting your Erasmus+ application.  For example, you’ll need an account to login to Mobility Tool+. If you already have an ECAS account, you don't have to do anything. Your credentials and personal data remain unchanged.

Online Registration System (ORS)

The Organisation Registration System user manual explains how to obtain your organisation's PIC number, which you must have before you submit your Erasmus+ application.  The user manual also explains how to use the Organisation Registration System.

Distance Calculator

The Distance Calculator is designed for organisations taking part in the Erasmus+ Programme to calculate travel distances for grant support for individuals.

Mobility Tool+

The Mobility Tool+ is the EU Commission online management and reporting system. Report templates for your Erasmus+ project can be accessed via Mobility Tool+, including interim reports which are submitted during your project’s lifecycle and final reports which are submitted after the project end date.

The exact requirements vary depending on the Key Action and will be stated in your grant agreement. Please refer to this and your Erasmus+ project handbook or contact us if you are unsure about what you need to do. It is important that the Mobility Tool+ is kept up to date throughout your project’s lifecycle and that the information is accurate. For further information you can view the European Commission’s online Guide for Beneficiary. This includes step-by-step instructions for using the tool. as well helpful screenshots.

Online linguistic support (OLS)

The OLS supports language learning for Erasmus+ mobility participants taking part in long-term mobility activities. Download the European Commission’s OLS beneficiary user guide and OLS technical Q&A guide. You can also read the EC’s Frequently Asked Questions on OLS which cover general support, logging in, technical queries and more.
